About the Role
We are looking for a detail-oriented and proactive Administrative Coordinator to support our Immigration and Finance teams. This is a fully remote position ideal for someone who enjoys helping operations run smoothly and approaches sensitive information with care, accuracy, and discretion.
You will play a critical role in maintaining compliance, supporting immigration workflows, managing accounts receivable processes, and ensuring our internal operations stay organized and up to date. U.S. immigration experience is a strong plus, but not required.
Responsibilities
Finance & Accounts Receivable (40% of time)
- Manage collections and follow-up emails for accounts receivable
- Maintain and update finance and accounting reports
- Track and process referral bonuses
- Assist with financial audits and reconciliation tasks
Immigration & Compliance (40% of time)
- Assist the Immigration team with compliance tasks, including H‑1B Public Access Files (PAFs)
- Support recruitment documentation and compliance workflows
- Track U.S. arrival dates for Fellows and ensure onboarding steps are completed
- Conduct periodic audits of immigration and compliance records
- Maintain and update immigration and compliance reports, trackers, and dashboards to ensure accurate, up-to-date case status and audit readiness
General Administrative Support (20% of time)
- Perform HubSpot data reconciliations and ensure CRM accuracy
- Track PTO requests and maintain the team's out-of-office calendar
- Coordinate group conference travel for employees (flights, hotels, logistics) and provide event coordination and travel support
- Support onboarding and offboarding processes for contractors and staff
- Help improve and document internal processes as the organization scales
- Provide general administrative support across teams as needed
- Additional tasks as assigned
Qualifications
- You are a self‑starter who takes ownership and doesn't wait to be told what to do
- Exceptionally detail‑oriented, organized, and consistent
- Comfortable working independently in a fully remote environment
- A clear communicator who collaborates well across teams
- Able to handle sensitive information with professionalism and discretion
- Familiar with U.S. immigration processes (bonus, not required)
